 Please read these terms and conditions carefully. Upon enrolling into classes at Cartwright Dance Collective a binding contract is formed and your (or your child’s) attendance at our classes will be strictly subject to full adherence to these terms and conditions.

1. Payments and fees

1.1 In order for a place to be kept open for your child in our classes, payment is required monthly, by subscription only.

1.2 Signing up through our website and setting up a subscription is the only registration and payment method Cartwright Dance Collective will accept. We do not accept cash, cheques, monthly BACS payments or fast track payments for fees.

1.3 We reserve the right to make changes to these amounts and/or collection date if necessary. In this case, you will be given notice via email prior to collection.

1.4 Fees are reviewed annually.

1.5 The system we use is Class 4 Kids. All registrations and payments are set up through our website (www.cartwrightdancecollective.com) which links to this system.

1.6 Payment will be taken from the account you specify on 1st of every month. Failure to make payments on time may result in losing your place in chosen class(es). If you are having trouble paying, please speak to a member of our team and we will do our best to help.

1.7 Prices are based on 38 weeks’ worth of classes annually.

1.8 Our fees are pro-rated, meaning that the total cost of classes is split over 12 payments. 

1.9 There is a one-off enrolment payment of £25 for each child which will include a Dance School T-Shirt. Thereafter, there is an annual admin fee of £20 per year, to cover the setting up of each student on our system/insurances and licensing etc.

1.10 Fees are non-refundable. In the event of a session being cancelled due to conditions out with our control, fees will be non-refundable. There are no reductions or refunds for missed classes under any circumstances (including injury, sickness or holidays). A refund will not be provided if classes have to be cancelled due to circumstances out with our control such as fire, flood, storm, bad weather, pandemic, industrial action or any other incident.

1.11 Additional fees such as exams and extra tuition will be notified individually where applicable.

2. Cancellation

2.1 Should your child wish to cancel their subscription we require a minimum of one month’s written notice via email. Given payments are taken one month in advance, should you cancel your subscription after the first of the month, you will still be required to pay fees for the following month. Your child can still attend all classes while the subscription is live.

2.2 Any classes that fall under 5 students in total will be subject to being cancelled.

2.3 All unattended lessons are still payable. Substitute lessons can be arranged where applicable. 

3. Classes and performances

3.1 Cartwright Dance Collective aim to provide the very best training. We will implement fun and discipline to do this. If we feel that any student is being disruptive on a regular basis, we will issue a verbal warning. If this continues, we will speak to parents about the matter.

3.2 Students must wear the appropriate uniform for each genre and all clothing and footwear items should be clearly labelled to avoid loss of personal belongings.

3.3 Promotional pictures and footage will be taken throughout the year during classes/performances; we will require a written request via email if you do NOT wish for your child to take part. We may also work in collaboration with outside media companies in line with our data protection policy.

3.4 Showcases/Performances will be recorded professionally. Personal cameras and recording equipment are not permitted.

3.5 We advise that your child does not bring any valuables (i.e. phones, jewellery etc.) with them to the studio. Cartwright Dance Collective do not accept any liability for lost or damaged belongings. Any belongings should have the child’s name clearly marked.

3.6 No child will be allowed to leave the building without a parent/guardian (unless arranged otherwise) Your child’s safety is paramount to us.

3.7 Cartwright Dance Collective cannot be held responsible for any injuries incurred during dance class. Our teachers will always ensure students are learning and progressing in a safe manner.

3.8 If you are going to be late to pick your child up, you must contact the studio to inform us.

4 Discipline

4.1 Unruly, disruptive behaviour in class will not be tolerated. We have a strict anti-bullying policy in place and expect our students to adhere to this at all times.

4.2 We believe in teaching boundaries and setting a good example in line with our positive ethos to build our student’s confidence.

4.3 Our staff will not tolerate abusive or disruptive behaviour from students or parents. We will treat everyone with respect and appreciate the same in return.

4.4 If a child/parent displays consistent unruly or aggressive behaviour, this could result in termination of class membership.

5. General

5.1 Any medical conditions must be disclosed upon registration, and the responsibility falls on you, the parent/guardian, to update us, when necessary, thereafter. It is imperative that we are always fully aware of any health implications, for your child’s safety and your own peace of mind.

5.2 Cartwright Dance Collective communication is made via email and social media. Please ensure you follow our social media platforms for recent updates and continue to check spam/junk email folders. It is the parent/guardian’s responsibility to keep up to date with all relevant information regarding their child. We will also post reminders in our closed Facebook group – please search ‘CARTWRIGHT DANCE COLLECTIVE Members Only’ and request to join.

5.3 At times, it will be essential for physical contact to take place between the teacher and student/peers. We encourage safe practice at all times and support students in doing so.

5.5 Participation in showcases/performances/exams/events is not compulsory.

5.6 The opportunity for a student to enter a dance examination is at the sole discretion of the teacher. It is usually necessary for a student to attend extra lessons in preparation for their examination in order to reach the required standard and to practice with their examination group. All students learn and progress at different rates. Cartwright Dance Collective will nurture our students and ensure their learning is individually catered for.

5.7 Cartwright Dance Collective hold Public Liability Insurance, Paediatric First Aid Certificate and Full PVG Disclosure Scotland.

6.GENERAL DATA PROTECTION REGULATIONS

6.1 DATA WE COLLECT: Your name, address, email address, mobile number, your child’s name, date of birth and any relevant medical/dietary information.

6.2 DATA PROCESS: Your child’s registration form will be processed and stored on the Cartwright Dance Collective laptop by our staff.

6.3 DATA STORAGE: Your child’s online Registration form will be held on the Class for Kids System and our Cartwright Dance Collective laptop and smart phone.

6.4 DATA DESTRUCTION: If you withdraw your child from Cartwright Dance Collective at any time (after giving your months written notice), your data will be destroyed.

6.5 DATA SHARING: We will not share your personal data with any third party other than our email provider, registered examining bodies such as the Royal Academy of Dance and competition producers etc.
